1. Who we are
Get Pool Growth (“Get Pool Growth,” “we,” “us”) provides software for pool service companies, including an instant quote widget, a lead management dashboard, email and SMS follow-up automation, AI phone answering, AI website chat, and subscription billing. This policy describes how we handle information when you use our website, dashboard, embeddable widget, or any related services (the “Services”).
2. Information we collect
We collect the following categories of information:
- Account information. Name, email, password hash, business name, and authentication identifiers when you sign up or sign in (including Google sign-in).
- Workspace and configuration data. Business settings, widget customization, branding, pricing rules, reminder templates, and team membership.
- Lead data submitted by your customers. Information your prospects enter into your instant quote widget or contact forms, which may include name, email, phone, address or ZIP, pool details, and any notes.
- Communications. Email and SMS messages sent or scheduled through the platform, call transcripts and recordings created by AI phone features (where enabled), and activity logs.
- Billing information. Subscription plan, payment status, invoices, and customer identifiers from our payment processor. We do not store full card numbers; payment details are handled directly by Stripe.
- Technical data. IP address, browser and device information, log data, cookies, and product analytics.
3. How we use information
- To provide, operate, and improve the Services.
- To send quotes, reminders, follow-ups, and notifications you configure.
- To process subscription payments, prevent fraud, and meet tax obligations.
- To provide customer support and respond to requests.
- To secure the platform, monitor for abuse, and enforce our Terms of Service.
- To comply with applicable law.
4. Roles: controller and processor
When you (a pool service company) use Get Pool Growth to collect and manage leads from your own prospects, you are the controller of that lead data and we act as a processor on your behalf. You are responsible for having an appropriate lawful basis and notice for collecting and contacting those leads under applicable law.
When we collect information directly from you as our customer (account details, billing information, support requests), we act as the controller of that information.
5. Sharing and subprocessors
We share information only with vendors that help us run the Services, including:
- Hosting and database for application, file, and database storage.
- Stripe for subscription billing, the customer billing portal, and tax handling.
- Email and SMS delivery providers for transactional messages, lead notifications, and follow-up campaigns.
- AI providers for AI phone answering, chat, and quote-related features (where enabled).
- Analytics and error monitoring to maintain product reliability.
We do not sell personal information. We do not share lead data with other Get Pool Growth customers.
6. Email and SMS communications
The platform sends transactional emails (account, billing, security) and, when you configure it, follow-up emails and SMS messages to leads on your behalf. Each lead-facing message includes an unsubscribe or opt-out option as required by applicable law (such as CAN-SPAM and TCPA in the United States). You are responsible for ensuring you have the necessary consent before contacting leads.
7. AI features
When you enable AI phone answering, AI chat, or other AI-driven features, content from calls, messages, or widget submissions may be processed by third-party AI providers to generate responses. We do not use your data, your leads’ data, or call recordings to train public foundation models.
8. Cookies and analytics
We use cookies and similar technologies for authentication, security, preferences, and basic analytics. You can control cookies through your browser settings; disabling some cookies may break parts of the dashboard.
9. Data retention
We retain account and workspace data for as long as your account is active. Lead data, activities, and message logs are retained for the lifetime of your workspace unless you delete them. Billing records are retained as required by tax and accounting laws. On account deletion, we cancel any active subscription at the end of the current paid period and delete or anonymize workspace data within a commercially reasonable period, subject to backup retention windows.
10. Your rights
Depending on where you live, you may have rights to access, correct, delete, port, or restrict use of your personal information, and to object to certain processing. You can exercise most of these rights directly in the dashboard, or by contacting us using the details below. We will respond within the timeframes required by applicable law.
11. Security
We use industry-standard safeguards including encryption in transit, encrypted storage, row-level security in the database, password hashing, and access controls. No system is perfectly secure; please use a strong, unique password and protect your account.
12. International transfers
We and our subprocessors may process information in the United States and other countries. Where required, we rely on appropriate transfer mechanisms.
13. Children
The Services are intended for businesses and adults. We do not knowingly collect personal information from children under 13 (or the equivalent minimum age in your jurisdiction).
14. Changes to this policy
We may update this policy from time to time. Material changes will be communicated by email or in the dashboard. The “Last updated” date above will always reflect the most recent version.
